Executive Assistant Job Description

Tasks:

  • Executive Support:
    • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Act as the primary point of contact between executives and internal/external stakeholders.
    • Prepare and organise documents, reports, and presentations for meetings and events.
    • Handle confidential information with a high level of discretion and professionalism.
    • Track action items and follow up on deliverables to ensure deadlines are met.
  • Meeting Coordination:
    • Arrange and coordinate executive meetings, board meetings, and team events.
    • Prepare agendas, take minutes, and distribute post-meeting action items.
    • Ensure meeting rooms, technology, and materials are set up as needed.
  • Administrative Tasks:
    • Manage emails, correspondence, and phone calls on behalf of the executive team.
    • Conduct research and provide summaries to support executive decision-making.
    • Maintain filing systems, records, and databases for easy access to information.
    • Assist in drafting communications, proposals, and internal memos.
  • Travel & Event Management:
    • Plan and coordinate domestic and international travel itineraries, including flights, accommodations, and logistics.
    • Prepare detailed travel reports and expense documentation.
    • Assist in organising company events, conferences, and offsite meetings.
  • Project Management Support:
    • Support executives in project coordination, tracking milestones, and ensuring objectives are met.
    • Liaise with various departments to facilitate cross-functional collaboration.
    • Monitor key projects and initiatives, providing regular status updates.

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Excellent time management, organizational, and multitasking abilities.
  • Strong verbal and written communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools (Google Workspace, project management software).
  • Ability to work under pressure and handle tight deadlines.
  • Strong problem-solving skills and a proactive approach to challenges.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities.
