Order fulfilment specialist Job Description

Tasks:

  • Order Processing & Management:
    • Oversee the full order cycle from order receipt to final delivery.
    • Process orders efficiently using eCommerce platforms such as Shopify, WooCommerce, Amazon, eBay, or similar.
    • Ensure order accuracy and address discrepancies promptly.
    • Monitor and resolve any order-related issues such as cancellations, returns, or payment concerns.
  • Inventory Coordination:
    • Work closely with warehouse teams to ensure adequate stock levels for order fulfilment.
    • Track inventory movement and report discrepancies to the operations team.
    • Coordinate restocking and replenishment with suppliers to avoid stockouts.
  • Shipping & Logistics Management:
    • Coordinate with shipping carriers (FedEx, UPS, DHL, etc.) to ensure timely dispatch and delivery.
    • Generate shipping labels and documentation for domestic and international shipments.
    • Optimise shipping processes to minimise costs and improve delivery times.
    • Track shipments and proactively address any delivery delays or issues.
  • Customer Communication & Support:
    • Provide timely updates to customers regarding order status, tracking, and delivery timelines.
    • Handle customer inquiries related to order fulfilment via email, chat, or phone.
    • Coordinate with the customer service team to resolve complaints or special requests.
  • System Optimisation & Reporting:
    • Utilise order management systems (OMS), ERP, and fulfilment software to streamline operations.
    • Generate reports on order trends, fulfilment metrics, and performance KPIs.
    • Identify opportunities to improve processes and efficiency within the fulfilment workflow.
  • Returns & Refunds Handling:
    • Process product returns, exchanges, and refunds in line with company policies.
    • Liaise with the warehouse to manage returned stock and ensure proper restocking.
    • Track return rates and recommend strategies to reduce returns.
  • Compliance & Documentation:
    • Ensure all fulfilment processes comply with international shipping regulations and tax policies.
    • Maintain accurate records of shipments, invoices, and customer interactions.
    • Assist in audits related to order processing and inventory management.

Qualifications:

  • Previous experience in eCommerce order fulfilment, logistics, or operations.
  • Familiarity with eCommerce platforms such as Shopify, Magento, WooCommerce, Amazon, or eBay.
  • Strong understanding of supply chain management and logistics principles.
  • Proficiency in order management systems (OMS) and shipping platforms.
  • Excellent organisational and multitasking skills.
  • Strong problem-solving skills and ability to work under pressure.
  • Effective communication and customer service skills.
  • Proficiency in Microsoft Office (Excel, Word) and Google Workspace.
